Law Enforcement Agency Questions
How much will our reports cost in Docview.us.com?
It is all very simple. We simply add our $6 convenience fee (paper reports) or a $7 convenience fee (electronic reports) to the amount your agency wishes to be reimbursed for each report. Our fee helps offset our costs for hosting the data as well as billing and customer service.
Do we still maintain all the revenue from our accident reports?
Yes. We reimburse your agency your normal counter fee for all of your reports that are purchased through Docview.us.com. You will lose none of your revenue.
My council ordinance only allows for me to charge a set fee, yet you charge an additional convenience fee. Do I need to change the ordinance?
No. You will still receive your set fee for each report from Docview.us.com, and you can continue to sell accident reports to citizens at the front counter using Docview.us.com and charge the citizen your standard fee.
Can citizens still purchase reports in person paying the normal fee?
Yes. If a citizen chooses to request reports in person, you can still service those requests at your normal fee. Your records department staff can even use Docview.us.com site to find and print the report being requested.
How often do you pay us?
We will send you a check on the 15th of each month with a report detailing every report that was purchased from your agency in the previous month.
How fast will my reports show up after we complete and approve them?
Immediately after your electronic reports are completed and approved. Paper reports that are scanned, faxed or electronically sent to Dcoview.us.com are processed the same day.
Can an insurance company continue to request reports through the mail?
No. We do ask that you set a date that insurance companies must use the Docview.us.com site to purchase reports and then refuse all report requests received from insurance companies after that date. This is accomplished by sending an announcement letter to each insurance company notifying them you are going to be switching to Docview.us.com site on a specified date. After the cutoff date has passed, your staff can send them another form letter reminding them that all reports must now be purchased through Docview.us.com.
We will provide you everything you need to make this transition smoothly, including sample form letters. Please keep in mind that any accident report viewed online results in a reduced workload for your records staff as well as faster service to the insurance companies and citizens.
Our road commission sometimes needs copies of our accident reports. Does Docview.us.com service them too?
Yes. We will provide your road commission department with free access to your reports.
How do you make sure my reports are always accounted for?
Docview.us.com has implemented a powerful Validation System that tracks every report as it securely moves through our preparation process. From the moment your reports are completed, they are encrypted and monitored for safe delivery. We monitor how long it takes to get through our Validation System and then to the main web server.
My agency gets FOIA requests from attorneys wanting a copy of all injury accidents. Does Docview.us.com service these requests?
Yes. Docview.us.com indexes the injury codes from your accident reports. We have also created a special search tool for attorneys so they can purchase up to a month’s worth of injury accidents from your agency. Servicing legal firms is completely your decision and is not activated until you instruct us to do so.
My agency files private property accident reports. Can Docview.us.com take these types of reports as well?
We can provide your agency with a standardized private property accident form to use if you need one or you can utilize your current form.
Can you tell me who has downloaded an accident report?
Yes. Docview.us.com is built using a powerful document management system. We know exactly who has viewed every report within the Docview.us.com system. We provide you with an Administrative report to show you how many reports you have uploaded, what IP Address was used when viewing reports, what users and citizens have purchased it, and how much revenue you are accumulating from selling reports.
Insurance / Law Firm Questions
How can Docview.us.com help out my insurance agency?
All major insurance companies are already using Docview.us.com to access reports. Insurance companies benefit from the easy access to accident reports 24 hours a day, 7 days a week. Instead of waiting several weeks or months when mailing in requests, accident reports are available for purchase from Docview.us.com immediately after agency's supervisor approves the electronic report. Paper accident reports that are scanned, faxed, or electronically sent to Docview.us.com will be ready in less than 24 hours. The majority of reports arrive in the system in 1-3 days after the accident occurs.
How does payment for these reports work?
Instead of writing individual checks to each law enforcement agency for each accident report requested, insurance companies now receive one consolidated invoice from us each month that includes all the accident reports accessed that month. Insurance companies end up saving money in processing fees by only writing one check each month to pay for all the reports bought at Docview.us.com.
Coupled with the timesavings of accessing the reports online, as opposed to requesting reports through the mail, and the convenience of consolidated billing, insurance companies have learned to rely upon Docview since 2004.
What happens if our office or our insured driver cannot find the report in Docview.us.com?
If they cannot find a report in Docview.us.com, they are provided with two options. They can email the Docview.us.com support staff and we will help them locate the report they are looking for. They can also call our toll free support number and we will assist them over the phone. We answer phones Monday through Friday from 8am to 5pm EST, and those who call will always get a live person on the first few rings.
If the report is not in Docview.us.com yet, we will advise you to wait at least 4 business days before anyone ever contacted the law enforcement agency. We work very hard to handle the support requests promptly.
